Summerfest Vendor Registration

•. All vendor fees are non-refundable.
• By submitting an application, vendors acknowledge that this is a rain-or-shine event. No refunds will be issued due to weather conditions, low attendance, or vendor withdrawal/cancellation. Event organizers reserve the right to amend event plans, including layout, hours, scheduling, or location adjustments, in response to inclement weather, safety concerns, or unforeseen circumstances. Every reasonable effort will be made to continue the event in a safe and successful manner.
• I understand I will not smoke at my booth or near other vendors.
• I understand that as an exhibitor, my products/services, table, displays, and likenesses may be photographed and used for promotional purposes.
• I agree to allow photos to be used for promotional purposes.
• I understand that I may not share or sublet my space without Downtown Carleton Place’s written permission.
• I understand that any photos and logos submitted may be used on promotional materials.
• I understand that a no-show may affect acceptance at future events.
• I understand I am legally liable for any negative consequences resulting from the purchase or consumption of my products.
• I understand my vendor fee is non-refundable.
• I understand the Town of Carleton Place and Downtown Carleton Place BIA cannot be held responsible for any injury, death, or negative consequence arising from vendor participation.
• I understand Downtown Carleton Place reserves the right to restrict vendor participation at any time.
• I understand volunteers will not be supplied to set up or remove my vendor space.
• I understand I must operate my booth for the entire duration of the event (10 am – 3 pm).
• I understand my booth must be removed from the site by 4:00 pm.
• I understand my tent must remain within the dimensions of my purchased space and not impede other vendors or the eastbound lane.
• I understand tent walls are not permitted unless organizers announce inclement weather.
• I understand my booth and products must not interfere with access to BIA businesses or residences.

• I have a municipal food truck license in accordance with Refreshments Vehicles By-law 16-2016, and am operating a self-contained food truck or trailer. OR I am a home-based food business selling food in keeping with the Health Protection and Promotion Act (HPPA) and the Food Premises Regulation.
• I or my staff hold a valid Food Handlers Certificate and it will be on-site on the day of the event.

• I am able to operate in cold and/or rainy weather.
• I agree that no alcohol of any sort will be sold or served during the event.
• I understand that I must display all allergy warnings at my booth.
• I agree to operate my food booth for the total duration of the event.
• I agree to maintain my premises in a clean and orderly condition throughout the day.
• I agree to remove food containers and litter and dispose of them after the event.
• I understand I must follow safe food handling procedures (wash hands, clean utensils, clean surfaces, avoid cross-contamination, keep food at safe temperatures, wrap or cover until serving).

That I hereby release and discharge Downtown Carleton Place BIA, the Corporation of the Town of Carleton Place, and its employees, agents, and representatives from any and all claims, demands, damages, actions or causes of action for any loss, injury, or damage to my person or my property incurred by reason of my participation in the event, including any that may be due to negligence of any of those persons;

That I hereby indemnify and hold harmless the persons mentioned in the clause above, as well as the designated organization or group facilitating this event, against any andall liabilities, actions, claims and demands whatsoever that may be made against them, or any of them, arising from or by reason of my participation in this program.
